To keep track of contacted websites, Ambassadors maintains a database specially designed for this purpose by SAS WebDev. Each entry has five fields. The first three, entry title, description and URL, are basic information that is largely self-explanatory. The last two fields are perhaps the most important - the person in charge of the contact (the ambassador), and the category or topic of the site being contacted, which tells Ambassadors what types of sites are being targeted, and also what types of sites need to be targeted more.
There are two types of status for each entry. The first type, the 'General Status? indicator, has a number of possibilities: 'Awaiting Staff Approval', 'Staff Approved, Awaiting Site Contact', 'Site Contacted, Awaiting Reply', and finally, 'Site Rejected Offer' or 'Site Linking to CyberArmy', all individually color coded to aid in quickly determining the status of a given entry. Since the entire process of contacting and formalizing ties with sites moves all sites through a series of color codes, let's take a look at what each level means.
'Awaiting Staff Approval' is selected when the site is first contacted, or is (obviously) awaiting approval for initial contact. Contacts are approved by the SAS Staff or by the CyberArmy Staff. Because it is pointless to negotiate linking to sites that CyberArmy would not approve of, the approval process screens a site before any other action is taken regarding said site. The 'Awaiting Staff Approval' color is blue.
'Staff Approved, Awaiting Site Contact' is the second phase. In this phase, Ambassadors prepares an email for the target website?s administrator about CyberArmy, what it stands for, and other information about linking, as per guidelines set forth in the CyberArmy Public Relations Manual. This step is yellow.
The person in charge formulates the email, and includes any other material necessary to send to the target website. When done, the status is changed to 'Site Contacted, Awaiting Reply', and the person in charge will await a reply from the website administrator. The status color changes to gold.
The last step is the reply of the website administrator. This is either an acceptance or a refusal. If it was an acceptance, then the site will be added to the database as a CyberArmy affiliate, and Staff will be informed. If the site does not wish to link to us, the status becomes red, signifying a rejection. Case closed.
Apart from the various colors used in the linking process, there is one further status field, denoting the probability for success of a given linkage request. Every Ambassadors member who is responsible for a site assigns a number from one (very unlikely) to five (certain) to the site, assessing the probability of linkage to that site, displayed in the database field as light blue dots. The entire system is designed to make tracking progress quick and easy.
The Ambassadors project was newly revived this month, so there is as of yet not much in the way of entries in the database, but it can be viewed by clicking here.
